Staying on top of tasks

Tasks is the to-do board for all the band admin that would otherwise live in your head or a group chat — chasing a contract, ordering merch, sending an advance, paying an invoice. It keeps that work in one place, next to the shows and releases it's actually about.

Two ways to look at it

Switch between two views from the toggle at the top:

  • Board — cards in To Do, In Progress, and Done columns. Drag a card between columns to change its status; the Done column keeps your recently-finished tasks so it isn't permanently empty.
  • List — a straightforward top-to-bottom rundown. In this view you can tick the checkboxes to select several tasks and act on them at once — complete, set priority, reschedule, assign, or delete — with an Undo if you change your mind.

What goes on a task

Each task carries as much or as little detail as you need:

  • Priority — Low, Medium, High, or Urgent.
  • Category — an optional label (Show Prep, Release, Finance, Booking, Travel, and more) to group similar work.
  • Due date — when it needs doing. Overdue tasks are flagged, and every due date also lands on your unified Calendar.
  • Assignee — hand it to a bandmate or teammate on your workspace (see Inviting your band & roles).
  • Checklist — break a task into subtasks and track progress.
  • Repeat — set a recurrence (e.g. every week) and finishing one occurrence spawns the next automatically.

Keep work in context

A task can be linked to a related record — a show, release, contact, crew member, or gear item — so the "send rider" reminder sits right next to the gig it belongs to. More on the show pipeline in Managing your shows and on releases in Releases & royalties.

Add tasks fast

Two shortcuts save you the full form:

  • Quick add — type a title in the box and ArtistHQ reads a date and priority straight out of the text. Email promoter friday !high becomes a task due Friday at high priority. It shows you what it parsed, with a keep as text escape hatch. You can also fire the same quick-add from the command palette anywhere in the app.
  • Templates — apply a ready-made checklist to a show or release, and every item gets a due date offset from that date — a whole show-week or release-rollout plan in one click.

Filter down to what matters

When the board fills up, use search and the filter chips to focus — by priority, category, status, or assignee. Two band-specific shortcuts help most: My tasks narrows to what's assigned to you, and Before next show surfaces everything due on or before your next date. Sort by due date, priority, or recency to order the rest.
