Run the merch table
Last updated 15 August 2026
Selling at the merch table is where the road money actually shows up. The Kiosk in ArtistHQ is a touch-friendly register that keeps stock, income, and the show settlement all connected — so a shirt sold at the table lands in your books, your inventory, and (for Plus tours) your Tour P&L without a second entry.
Set up the register
Open Merch → Kiosk. If your band has a show today, the Kiosk auto-links to it — you'll see a Selling at: [venue] pill at the top.
Linking the show matters. It's what rolls the night's sales into that show's per-show analytics, its settlement breakdown, and the Tour P&L. Sales left unlinked still record perfectly as direct sales — they just don't roll up to a show. To change or clear the link, tap the pill and pick from the drawer; a dashed Link a show? pill means nothing is linked yet.
If you're selling from a tablet on the table, tap Merch Table Mode. It enlarges the product cards, buttons, and touch targets so staff can ring sales fast without fine-tapping.
Build the cart
Tap a product to add it. If it has sizes or variants, pick the one you're selling — out-of-stock variants show OUT and can't be tapped. Use the plus and minus controls in the cart to adjust quantity; the Kiosk won't let the cart exceed what's actually in stock.
One sale is a single currency. If an item is priced in a different currency than what's already in the cart, the Kiosk asks you to finish or clear the current sale first — there's no mixing and no conversion, because ArtistHQ never invents an exchange rate.
Discounts, venue cuts, and how they paid
Open the Adjustments section in the cart to apply either of two things:
- Discount — enter an amount, then tap the toggle to switch between a fixed amount and a percentage off.
- Venue Cut — enter the venue's percentage. The calculator shows the cut coming off and your take-home underneath, so you can see the split before you ring it.
Set Paid by to Cash, Card, or Other. Card is a tag for your records only — ArtistHQ does not process the payment, so run the card on whatever reader you already use, then mark it here.
Complete the sale
Tap Complete Sale, confirm the total, and it's done. In one atomic step the Kiosk decrements stock, logs the income (linked to the show if one's attached), and shows you a receipt. Because it's atomic, you can't oversell — if the last shirt just went, the whole sale rolls back rather than leaving your books and stock out of sync.
Fix a mistake
Rang the wrong thing, or someone brought a shirt back? Go to Merch → Sales, tap the sale to expand it, and choose Refund sale (it asks once more to confirm). That reverses both sides: the income is backed out and the items are restocked. The sale stays in your ledger with a Refunded badge so the history stays honest — it just no longer counts toward your totals.
Every sale with a linked show flows through to that night's numbers — see settle-a-show for how merch feeds the settlement, and tracking-money for where the income lands.
